What makes a receipt valid as proof of payment
A valid receipt needs the date of payment, who was paid, what for, the amount, and the payment method — enough for either side to treat it as proof the transaction is settled, and for the payer to use it as a record for taxes or reimbursement.

Receipts as expense documentation (US)
For business expense deductions, the IRS generally requires documentary evidence — a receipt or similar record — for expenses of $75 or more, with one notable exception: lodging expenses while traveling always require documentary evidence regardless of the amount. Below $75 you're still required to record the amount, date, place, and business purpose — the rule only removes the need for the physical receipt itself, not the recordkeeping (IRS Publication 463 — Travel, Gift, and Car Expenses).
How long to keep receipts
In the UK, self-employed individuals must keep their records — including receipts — for at least 5 years after the 31 January submission deadline of the relevant tax year (GOV.UK — how long to keep your records). Digital copies are accepted, so a PDF receipt generated online satisfies this on its own — no need to also print and file a paper copy.
